Creating Sales Proposals in Notion (+Free Template)

As a freelancer, sending sales proposals and contracts to clients can be challenging. It's not uncommon for clients to struggle with downloading and signing contracts or accepting proposals - even if they want to.

There's a solution and if you're a Notion user, you're going to love it!

Using Notion, I have been able to integrate a third-party tool called Tally, which has made the process of creating, sending, and signing sales proposals much easier.

In this video, I will walk you through how I create and send brand proposals to clients in Notion. I also share the free Notion template so you can do the same.

Creating Sales Proposals in Notion

I start by creating a page and naming it Sales Proposal in Notion. I add this page to a button that's stored in my Sales CRM database so I can easily duplicate a new copy for each client. 

Client Welcome Section

I usually start with a welcome message, an overview of the client journey, and a five-stage process that I use. The process is customizable, and I fill in the different steps for each client. The five stages include onboarding, brand strategy, content and design, website development, and delivery and training.

Scope of Work

This is one of the first sections in my sales proposal. My scope of work section outlines the project deliverables, base package, pages, and features included. I also have a section for additional items, such as professional email setup, Squarespace scheduling, or course creation.

Project Timeline

Next, I provide an overview of the timeline. This includes a holiday notice (if applicable), a design estimate timeline, and session availability. I do my design in two parts - brand strategy sessions, followed by their design week. During the design week, I am solely focused on the client's website design. 

I only take on a maximum of two clients at a time, and typically only one, so that I can focus all my attention on one project at a time. I give clients session availability and let them know when the next design slot is, to ensure it lines up with their timeline.

Roles and Responsibilities

Managing client relationships can be challenging, which is why I have a section in the proposal that outlines roles and responsibilities. I find that being very clear and setting boundaries upfront helps clients take the design timeline seriously. For example, I have a 50% non-refundable deposit, and if the client doesn't meet their responsibilities, they may lose their deposit and have to rebook. This helps me avoid chasing clients up for certain things.

Project Communication

Lastly, I include a note on how we communicate, my office hours, and booking additional calls. I make my schedule available to design clients, and if they want to pick a 20-minute slot during my office hours, they can do so.

Incorporating Tally with Notion has made it easy for me to send proposals and contracts to clients. They can sign the contract on the spot using their mouse or tablet and send it back to me. It automatically goes into my Notion account in a database called Client Proposals. This process has made it easy for clients to accept proposals and contracts, and it has made my life as a freelancer much easier.
